Business process automation

If your staff regularly retype data, sort enquiries, prepare the same reports or move information between systems, part of that work can be automated. CreateIT builds integrations and automation for a specific process - with AI where it brings a practical benefit. We connect business process automation to the systems you already use.

What can be automated

Document processing
The data you need can be read from invoices, delivery notes, applications and other documents, checked and passed on to a system. For varied formats and unstructured content, AI can be used as well.
Email flows
Incoming emails can be classified by content, linked to a customer or project, routed to the person responsible and followed by a prepared next action. Sending the reply can be left for a person to approve.
Data synchronisation
We connect your online store, CRM, warehouse, accounting and other systems, so that data does not have to be entered by hand again and each stage of the process has the information it needs.
Reporting
Data from several sources can be gathered on a set schedule, prepared in the format required and delivered to the team without being compiled by hand each time.
Enquiry routing
An enquiry from the website or another system can be completed with the data required and classified, and a task created for the member of staff or team responsible.

How we work

Process audit

We study the specific workflow - what starts it, which data is used, where a person is involved and where delays or repeated manual work arise.

Automation assessment

We establish which steps are worth automating, which systems have to be connected and whether the task needs AI. If the benefit does not justify the development, we do not recommend automation.

Development and roll-out

We build the integrations and the process logic, and test the standard scenarios and the exceptions. We adapt the way it is rolled out to the system concerned and to how critical the process is.

Control and improvement

We define error handling, notifications and the situations in which an action has to be handed to a person. After roll-out the process can be extended as your systems or working procedures change.

Start with the process, not the technology

Describe a job your team regularly has to do by hand. We will reply within one working day and assess what it is justified to automate in it.

Where automation brings a practical benefit

A good candidate for automation is a process that recurs, uses clear data sources and requires the same actions in several systems. Examples are passing the data of a supplier's document to accounting, synchronising an online store order with the warehouse, classifying a customer enquiry or preparing a regular report from several sources.

Not every automation needs AI

If a process can be described reliably with clear rules and system integrations, AI does not have to be added to it. We use it where unstructured text, documents or situations with several possible interpretations have to be handled. For critical actions we provide validation, limits and human involvement.

A ready-made platform or a custom integration

For simpler flows a ready-made automation platform such as Make, Zapier or n8n is often enough, and your team can review it too. If the data volume is large, stricter error handling is needed or the systems have no ready connectors, we build the integration in code using APIs. The choice depends on the process, the cost and who will maintain the solution.

Frequently asked questions

How much does process automation cost?

The price depends on the number of systems, how complex the integrations are, the data volume, exception handling and whether AI is needed. A small flow on a ready-made platform and an integration across several systems are very different pieces of work, so we state the price after studying the process.

Which process should automation start with?
A good starting point is a regular, repeatable process in which a person moves data, checks the same conditions or carries out actions in several systems. We assess the volume of work, the exceptions, the integration options and the cost of automation before we recommend development.
Will automation work with our existing systems?
In many cases automation can be built around the existing environment - a CRM, an online store, an accounting system, a database, files or email. We first check which integration and data exchange options the systems concerned offer. Sometimes changes to the system itself are needed as well.
What happens if the automated process meets an exception?
We define in advance what may be carried out automatically and in which cases an action has to be stopped or handed to a person. Handling exceptions is part of the solution, not something automation should ignore.
How is this different from an AI agent?
Process automation usually carries out a workflow defined in advance and connects systems. An AI agent can choose the next action from the tools it is permitted to use, depending on the information it receives. The two approaches can be combined, but an agent is not needed for a process that is safer and simpler to run with fixed logic.
